Where do I register for the conference?

As of 09/17/18, all client, prospect, consultant and speaker attendees are registered for the conference and listed on our room block.

If you have not responded to the questions regarding meals on the CVent invite you received, please reach out to John Butts @ 215-937-8073 or Rose Mulligan @ 215-863-6694.

Upon arrival, and after checking-in with hotel, please proceed to the Conference Registration Desk. You will see signage and staff to direct you in the lobby.


What are the dates and times of the conference?

Our conference begins on: Wednesday, October 3rd @ 6:30 PM
Our conference ends on: Friday, October 5th @ 12:00 Noon


What time does the registration desk open?

Our registration desk is open on: Wednesday, October 3rd from 3:00PM to 6:00PM. Our desk will also be staffed throughout the conference and located in the Venetian Foyer, right before the main conference room.


Do I need a Credit Card upon check-in?

Yes, all guests will be required to show a credit card upon check-in. Guests will be given a house card for their purchases while at resort, which will be billed back to your personal credit card.
 

What if I booked at a different hotel? 

Unfortunately, we cannot make accommodations to shuttle you back and forth off property to your hotel.

Each year, we strive to find better ways to connect with our guests. For Innovations XII, we introduce to you our conference app! When using the app throughout the conference, you will have the ability to stay connected with what’s happening and where.  For more information about our speakers, presentations and sponsors, download the app today!

  • Visit the App Store on your Apple or Android device

  • Search “EventsXD”

  • Download the app and search “Innovations XII”

  • Create an EventsXD login

Once you have a created an EventsXD login, you will be able to browse through our agenda, speaker bios and more. After each presentation, you will be prompted to complete a quick survey which will assist us in planning for Innovations XIII. If you have any questions regarding the mobile app, please email mkennedy@performrx.com.


What is the dress for the conference?

The attire for the conference is typically business casual. We want attendees to be as comfortable as possible. However, you may want to know the venues to ensure you pack accordingly:

  • Our opening reception will be on the Citrus Piazza, which can be cool during the evening.

  • Our 2nd night’s dinner, takes place at Bice Restorante, located on-site, across from Harbor Bay. It too may be cooler during the evening so please be prepared to dress accordingly.
  • The sessions will take place in Venetian Ballrooms, located ONLY through the lobby of the main building. Staff will be there to direct you. Please Note: The room will be air conditioned.
     

What activities does the venue offer?

We encourage you to visit the hotel’s website @ www.loewshotels.com/portofino-bay-hotel  for all the wonderful opportunities available at Lowes Portofino Bay Hotel. Some activities include:

Is there internet access in the hotel?

Yes, the hotel has Wi-Fi, which is included in the resort charge. Directions for accessing Wi-Fi will be provided at check-in. 

Is there on-site parking at the hotel?

Valet Parking:

  • Overnight parking is $33 per vehicle, per night

  • Day parking is $38 per vehicle, per day

Self-Parking:

  • Overnight parking is $24 per vehicle, per night

  • Day parking is $26 per vehicle, per day
     

Is there a Fitness Center/Spa at the hotel?

Yes, the Mandara Spa + Fitness is available with access by your room key.

Pamper yourself with an Indigenous Dolce Limoncello Body Polish with Massage, an ELEMIS Dynamic Resurfacing Precison Peel or a Fire and Ice Pedicure. For the guys, we have treatments such as the Mandara Deep Tissue Massage or ELEMIS High Performance Skin Energizer for Men or even a Men’s Sports Pedicure.

Spa Hours: 8:00 AM – 8:00 PM
Fitness Center Hours: 5:00 AM – 8:00 PM

Complimentary Fitness Center access, excluding usage of facilities such as whirlpool, steam room, Jacuzzi, located inside Mandara Spa. If a group would like to utilize such amenities, the hotel offers a reduced rate of $8.00/person/day.

Is there a Business Center at the hotel?

Located in hallway leading to Conference Area, the business center is available 24 Hours with Room Access for Computer Usage and Printing. Staff is available Monday-Friday  7:00 AM -5:30 PM and Saturday 7:00 AM-12:00 PM to assist with high volume copies and shipping. 
 

Are meals included for all conference attendees?

Yes, we have planned palate pleasing meals for the entire conference. If you have special dietary needs, please let one of our Conference Coordinators know as soon as possible. We will try to accommodate your special needs.

If you have a spouse or guest attending the conference and have registered and paid for them in advance, they are welcome to join us for all the meals. Please let us know and we will be happy to include them in our count.
 

How do I get from the airport to the Loews Portofino Bay Hotel?

We have arranged for ground transportation for all of our invited guests and speakers, through Destination MCO. You will receive a confirmation for your pick-up time and driver information, including a cell phone number to call in case your arrival time changes.

Upon arrival at the airport please proceed to baggage claim area and you will see either a PerformRx Associate or Transportation Driver holding a sign with our logo or your name on it.

If sponsors are arriving at the same time as any of our clients or speakers and space is available, you are welcome to join us. Unfortunately, since we do not know your travel arrangements and the variances in airlines and arrival times, we cannot provide individual transportation.
 

I have an early departing flight; can I leave the conference before it has ended?

Our conference is scheduled to end at 12:00 Noon on Friday, October 5th. If you have transportation departing before then, please let us know if you need any assistance with departure arrangements. Please see one of our Conference Coordinators to ensure we have your correct departure time on our ground transportation roster.

Although the hotel is only thirty minutes from the airport, since INNOVATIONS XII will be held leading up to a holiday weekend, it may be in your best interest to build in more time for travel traffic. If we have booked your ground transport, we have arranged for a two hour pre-departure time from the hotel.

All attendees should bring their luggage with them on Friday morning, as they may not have sufficient time to return to their hotel room.

You can print your boarding passes for free at the Business Center.


Presentations

Are the presentations going to be distributed or posted online?

No, in order to go-green we will not distribute them at the conference, but with the permission of all speakers, we will link all presentations under each speaker bio on our website or we can send you an electronic copy upon request. Please allow until October 26th for all presentations to be linked.

Will there be a conference MC this year?

Do I need to bring an actual copy of my presentation with me to the conference?

No, as long as you have sent your presentation to imccarney@performrx.com prior to or have a flash drive with you, we will be ready to assist you with loading your presentation.


Will there be a podium and microphone?

Yes, all AV arrangements have been made through PSAV. However, if you have a special need, please let us know as soon as you can. There will also be an AV team member onsite.
 

How many attendees will be in the audience?

We are expecting approximately 140 attendees at this year's conference. This includes health plan representatives from client and prospect plans, consultants, invited guests, speakers, our valued and generous sponsors/exhibitors, and our PerformRx/PerformSpecialty Staff.
 

Will there be time for questions and answers?

Yes, we have built that into your allotted time, but we are flexible in adjusting the schedule to ensure all attendees have their questions answered.
 

Will my presentation be evaluated by attendees?

Yes, as in the past we will have evaluations for all attendees to complete on each presenter and their presentation. We are happy to share those results with you and will do so by November 9th via email. Evaluations will also be available through the EventsXD smartphone app.

Inbound Shipments: Where do I send my display or materials?

The hotel’s receiving area is open from 7:00am – 5:30pm, Monday-Friday and Saturday from 7:00am – 12:00pm.  Closed on Sunday.

Boxes may be shipped within 5 days of your event.

Handling fees will be assessed as follows:

Small (under one foot & less than 25 lbs)                  $ 5.00
Medium (one to two feet & less than 50 lbs)              $10.00
Large (over two feet & less than 75 lbs)                     $15.00
Oversized (over three feet & up to 100 lbs)                $20.00
**over 100 lbs is prorated per each 100 lbs

Any shipment with multiple packages must be numbered to reflect the total number of packages in the shipment (i.e. 1 of 2, 2 of 2)

Outbound Shipments: What do I do about shipping my display and/or materials back out?

Please prepare your own shipping label for outgoing shipments and make arrangements with your carrier for pick-up. The staff will move the boxes to the loading dock for you with applicable fees being charged. You may also bring it to the business center and send via FedEx.
 

What day and time can I setup my display?


You can set-up your display anytime on Wednesday, October 3rd from 3:00PM until 6:00 PM. You can also set-up at 6:30 AM on Thursday, October 4th.
 

What are the exhibit times?


All exhibitors who have requested a space will be located in the Venetian Foyer, directly outside conference room entrances. Attendees will need to pass your space to enter and exit the room.

There are specific scheduled breaks during the conference, which are:

Thursday, October 4th:             9:30 AM – 9:50 AM
                                               11:50 AM – 12:00 PM
                                                 1:00 PM – 1:15 PM
                                                 3:00 PM – 3:30 PM

Friday, October 5th:                10:15 AM – 10:45 AM

There will be opportunities to network with attendees at all meals too.
